Free invoice template for tradies (Australia)

An invoice spreadsheet with the details the ATO expects on a tax invoice, GST worked out per line, and your payment details, plus a plain invoice for a business that isn't registered for GST.

Opens in Excel, Google Sheets, Numbers or LibreOffice. Free, no sign-up, no email needed.

How to use it

  1. Fill in your business name, ABN and contact details once, then save a copy as your blank.
  2. For each job, add a line for each part of the work: labour, materials, call-out or travel.
  3. Enter a quantity and a unit price; the amount and total work themselves out.
  4. Save it as a PDF before you send it, so the customer can't change it by accident.

Tax invoice or invoice?

A business registered for GST issues a tax invoice, and the GST version is set up for that. A business that isn't registered for GST must not charge GST or call its invoice a tax invoice, so the no-GST version is titled "Invoice" and says no GST has been charged. The ATO's page on tax invoices sets out the rules.

For what should go on it, read what the ato expects on a tax invoice.

When a spreadsheet stops being enough

A spreadsheet is fine for a few jobs a week. It gets slow when you're retyping the customer's details for each quote, then copying the quote into an invoice, then checking which invoices have been paid. In BizzMate, a quote is built from the job, an accepted quote becomes the invoice, GST is worked out per line, invoices are locked once sent, and the customer can accept a quote online. It is set up for businesses registered for GST.
